ReServe Interactive Software Improves Hotel's Reservation Management System

ReServe Interactive, Inc. (formerly named Efficient Frontiers, Inc.) has sold its Reservations and Table Management System software to the Hyatt Regency Grand Cypress Hotel in Orlando, Fla. The agile, modular software, which is multi-functional and may be tailored to customers' needs, has made many important improvements to the hotel's restaurant reservation process. Now, the hotel's formerly manual, inefficient process is streamlined and centralized.
ReServe Interactive software, which includes functions such as Multiple Restaurant Support, Automatic Reservation Book and Integrated E-Mail, can be purchased as separate software modules or as a fully integrated system. It has enabled the Hyatt Regency to enhance its customer service and security, and to be more cost efficient by accomplishing important restaurant-related functions such as minimizing double bookings and by maximizing table inventory. The software also has more efficiently distributed labor, and the sales and marketing division has realized cost savings, as well.
The internally-based software automates the process of taking and servicing restaurant reservations and managing guest seating. By using Smart Reservation Technology�, ReServe optimizes covers and maximizes service because reservations are managed automatically. Available time slots are efficiently calculated based on customer-specific criteria including table inventory, turn rates, maximum seating capacities and other information.
According to Hyatt staff, the ReServe software and its Multiple Restaurant Support function has been vital to streamlining and centralizing the needs of its six on-site restaurants. "The manual system had multiple people trying to take reservations on a single sheet of paper. That meant that our restaurants were sometimes overbooked and other times we were under utilized," says Fred Hoffmann, assistant executive manager of food and beverage for the hotel.
Now, instead of making several calls, which was time consuming and sometimes inaccurate, hotel customers may make reservations at any restaurant via a single telephone call or by visiting any restaurant or Guest Services desk. "Prior to implementing ReServe, customers had to make multiple calls to make a reservation," adds Hoffmann. "We were not very guest friendly." Labor also may be distributed immediately and accurately according to ReServe's up-to-the-minute seating information.
The software optimizes floor and table management; thus, double bookings are minimized and table inventory is maximized - and hotel staff now operates much more efficiently. ReServe software's Table Management system provides an at-a-glance graphical representation of the dining room so that a hostess or manager may get a quick, accurate update of its seating resources. "Employees say it's tracking head counts, so we can provide the proper service to our guests," says Hoffmann. It also is proves its cost effectiveness. According to Hoffmann, by centrally controlling reservations, "we went from an average of four no-shows per night to zero no-shows per night per restaurant. With an average check of $50, we paid for the system in less than 30 days." ($6,000 x six restaurants equals $36,000 per month.)
The software provides universal access to the reservation system and it's ideal for a centralized reservation center. From multiple locations within the hotel, Guest Services can update or otherwise acquire information regarding a guest's changing needs or preferences.
When restaurant reservations are guaranteed with a credit card, they are stored within ReServe's internally controlled system. Only a portion of the credit card number may be viewed, and numbers aren't written manually, thus reducing the possibility of vital information being lost or discarded. Guest information that should remain confidential does so.
The agile ReServe software also met the Hyatt's request that it remain an internal system, not Internet-based. "We were looking for an internal system solution, because we were doing this for an internal customer base. We didn't want our customers having to go to the Internet to make reservations," says Hoffmann.
ReServe offers both internal- and Internet-based reservation software. Although Hyatt management requested an internal system, ReServe's new online service, ReServeIT, enables customers to make real-time dining reservations and inquiries for private events via the Internet. One of its most important components is that the software is integrated with a venue's existing website, which offers cost savings for restaurants and convenience for customers, and it reduces the risk of potential customers being directed to a competitor.
Hoffmann adds that the hotel's Sales and Marketing division has realized efficiencies and cost savings, as well. Due to the customer profile information that ReServe gathers - its Marketing Tools and Integrated E-mail functions maintain a customer database that includes activity history, table preference and regular orders -- the hotel's Sales and Marketing group may market specials, update changes or announce events based upon the vital information that ReServe provides. The need to purchase a database of information is eliminated, as are the costs associated with a bulk rate mailing. "The software's database is self-building and costs nothing," says Hoffmann. The software also generates valuable financial, marketing and dining-related reports.
"With ReServe, we were able to solve all of the pressing issues," says Hoffmann.
